This role will perform complex administrative duties for the Vice President, Industrial Packaging Finance & Strategic Planning. This is a corporate-level work environment which requires excellent composure and flexibility. The successful candidate must be self-motivated and possess the ability to prioritize and meet strict deadlines consistent with Finance and Strategic Planning functions. This position is located in Memphis, TN.

Key Functions and Specific Responsibilities:

  • Maintain floor common areas

  • Event planning

  • Occasional travel required

  • Plan meetings and manage calendar invitations

  • Maintain calendars, including coordinating meetings and appointments; monitor the VP’s frequently changing calendar to support time management; responsible for other office functions including mail processing, delivery of materials for review/signature, telephones, greeting visitors, following through on assignments given by the VP; reference to mail management and manage contacts

  • Ensure managers have the appropriate material for various meetings, and coordinate schedules, appointments and meeting venues, as required

  • Responsible for making travel arrangements

  • Assist in maintaining organizational charts for the business

  • Support monthly financial reporting work days as needed

  • Screen telephone calls and visitors and resolve routine and some complex inquiries

  • Process expense reports utilizing an on-line system; complete expense reports in strict accordance with company policy

  • Interact with internal and external senior level executives and customers

  • Work with outside groups for conferences, meetings and engagements requiring presentations

  • Participate in Lead Team meetings as required

  • Floor environment, health and safety warden

  • Lead and implement record retention in strict accordance with corporate policy

Education, Specialized Knowledge, Skills and Experience:

  • College degree preferred

  • Minimum five years administrative support experience required

  • Requires heavy follow-up and attention to detail

  • Excellent PC skills including Microsoft Office, SharePoint, Power Point, Excel, Word, Internet and SAP

  • Must be an extremely organized, reliable individual

  • Great deal of flexibility, enthusiasm and energy; must be a team player

  • Excellent telephone and communication skills; able to interact effectively and courteously with executive management and employees

  • Must have excellent written and verbal communications skills
